Dr. Jean Oursler, Ph.D. believes that AI is a powerful tool for accelerating results when used responsibly and transparently. This policy explains how AI is used in her coaching practice, what safeguards are in place, and what rights you have as a client.

1 How AI Is Used in This Practice
AI tools support Dr. Jean's coaching work in three areas:
- Dr. Jean Bot (AI Coaching Companion): An AI chatbot trained on Dr. Jean's coaching frameworks, including the Results Triangle and Caveman Brain methodology. It offers on-demand coaching support between live sessions. It is a supplement to human coaching, not a replacement.
- Content and Communication: AI assists in drafting session recaps, educational content, and business communications. All AI-drafted content is reviewed and approved by Dr. Jean or her team before it is delivered to clients. No AI output reaches a client without human review.
- Administrative Support: AI helps with scheduling assistance, document formatting, meeting preparation, and research. These tasks are operational and do not involve client decision-making.
2 What AI Does Not Do
There are clear boundaries around AI's role in this practice:
- AI does not replace Dr. Jean's coaching, judgment, or expertise.
- AI does not make business decisions on behalf of clients.
- AI does not access your private business data, financials, or proprietary information.
- AI does not provide legal, financial, investment, or medical advice.
- AI does not communicate directly with your clients, employees, or stakeholders.
The coaching relationship is between you and Dr. Jean. AI is a tool in the toolbox. The strategy, accountability, and human connection come from her directly.
3 Data Privacy and Security
Protecting your information is a priority. Here is how data is handled:
- Dr. Jean Bot conversations are not stored permanently. Chat history exists only during your active session and is cleared afterward.
- No personally identifiable information (PII) is shared with third-party AI providers. Prompts sent to AI models do not include your name, company details, or confidential business data unless you voluntarily enter it into the chatbot.
- Session notes and recaps are stored securely and shared only with the client they belong to.
- AI providers used in this practice (Google Gemini) have enterprise-grade data handling policies. Inputs are not used to train their models.
Recommendation: When using Dr. Jean Bot, avoid entering sensitive information such as Social Security numbers, financial account details, passwords, or confidential legal matters.
4 Human Oversight
Every AI-assisted deliverable in this practice goes through human review:
- Session recaps, action plans, and coaching materials are reviewed by Dr. Jean or her team before being delivered to clients. AI-generated drafts serve as starting points that are edited, refined, and approved through a human review process prior to client delivery.
- AI-generated content is treated as a first draft. Final output reflects Dr. Jean's voice, judgment, and expertise.
- The Dr. Jean Bot operates within guardrails defined by Dr. Jean's methodology. It is designed to coach within her frameworks, not to freelance.
5 Commitment to Accuracy
AI can be a powerful assistant, but it is not infallible. To maintain quality:
- All AI outputs are reviewed for factual accuracy before being shared with clients.
- AI is never the sole source for business recommendations. Dr. Jean's experience and your specific context always inform the final guidance.
- If an error is identified in any AI-assisted deliverable, it will be corrected promptly and transparently.
6 Your Rights as a Client
You are in control of how AI is involved in your coaching engagement:
- Opt out at any time. If you prefer that AI tools not be used in your engagement, let Dr. Jean know. Your coaching experience will not be diminished.
- Ask questions. You are welcome to ask how AI was used in any deliverable you receive.
- Request human-only service. For any specific deliverable or communication, you can request that it be produced without AI assistance.
7 Regulatory and Compliance Awareness
Some of Dr. Jean's clients operate in regulated industries, including financial advisory firms subject to FINRA oversight, law firms with confidentiality obligations, and accounting firms with confidentiality obligations. This practice respects those requirements:
- AI tools are not used to generate investment advice, legal opinions, or regulatory filings.
- Coaching conversations remain focused on business strategy, leadership, and accountability. They do not extend into regulated professional advice.
- Clients in regulated industries are encouraged to inform Dr. Jean of any specific compliance requirements so the engagement can be structured accordingly.
- AI usage in this practice is consistent with current industry guidance on responsible AI adoption for professional services.
8 Continuous Improvement
AI capabilities are evolving rapidly. This policy will be reviewed and updated as needed to reflect:
- New AI tools adopted in the practice
- Changes in data privacy regulations
- Updated guidance from regulatory bodies (including FINRA, state bar associations, state boards of accountancy, and industry groups)
- Client feedback and emerging best practices
Clients will be notified of material changes to this policy.
